TERMS OF REFERENCE
I. BACKGROUND
A. PDOT Beijing will be organizing the “It’s More Fun With You” – Media and KOL Year-end Gathering to be held in the Philippine Embassy in Beijing, China on April 29, 2023
B. The event will be comprised of band performances, food tasting, drinks sampling and games.
C. The event will be a whole-day affair, divided into four two-hour sessions, and each session will have 180 guests.
II. PURPOSE/OBJECTIVES
A. To introduce customization tour destinations in the Philippines to the market;
B. To continue maintain awareness of Philippine destinations in the Chinese market;
C. To educate and update the Chinese tourists on Philippine destinations resources and offerings past-pandemic
D. To generate an estimated impression of 600,000
III. MINIMUM REQUIREMENTS FOR SUPPLIERS
A. Must be a registered and licensed/accredited event/exhibition company in Beijing
B. Must be able to provide services on the event date
C. Must be flexible on payment terms
IV. SCOPE OF WORK/DELIVERABLES
A. Provision and conceptualization of event design.
B. Construction and dismantling based on design approved by PDOT Beijing Office.
C. Provide the following event requirements:
i. Registration System – 1 set
ii. Exhibit booth of culture and agriculture products – 1 set
iii. Media & KOLs Invitation – 30 pax

2. Have an aggregated number of followers on social media platforms (including but not limited to Weibo, WeChat Channel, TikTok Live Streaming, Bilibili, Red/Xiaohongshu) of no less than 300,000; KOLs have previously posted featured travel/food journals on major online platforms.
iv. Photo Wall – 1 set – 2m*3m
v. Face Painting – 2 pax – Whole day face painting services
vi. Food and beverage sampling Provide Filipino food and beverage sampling good for 640 pax.
a. Beverages – 4-5 kinds
b. Hot Meals – 5-6 kinds
c. Snacks – 4 kinds
vii. Canvas bag – 700 pcs
viii. Painting bag – 300 pcs
ix. Tarsier – 40 pcs
x. Event Uniform – 50 pcs
xi. Work station – 5 pcs
xii. Cassette stove – 5 pcs
xiii. Chest Freezer – 2 pcs
xiv. On site assistant – 3 pax
xv. Cleaners – 2 pax
xvi. Graphic design – Provide graphic design for the event
V. BUDGET FOR THE CONTRACT
RMB 140,000.00
based on current foreign currency exchange rate inclusive of taxes
NOTE: The winning bid however, shall be determined based on the proposal with the most advantageous financial package cost, provided that the amount of bid does not exceed the above total budget.
